HVAC CRM and Automation Consulting in Houston

For Houston-area HVAC and air-conditioning companies whose calls, estimates, and follow-up live in too many places. We find where booked work is slipping, then connect your phone, CRM, and office workflows so fewer jobs fall through, with your team still making the calls that need judgment.

Where HVAC offices commonly lose booked work

These are the areas we check first. Not every company has every problem; the point of the review is to find which ones are costing you and which are not worth fixing.

  • Missed and after-hours calls

A call that rings out during a summer rush or after 6 p.m. often goes to the next company on the list. We look at call logs, voicemail handling, and callback timing.

  • Slow first response

Web forms, texts, and Google Business Profile messages that wait until someone gets back to the office.

  • Unsold replacement estimates

Quotes that were sent once and never followed up, or followed up differently by each comfort advisor.

  • Maintenance agreement renewals

Memberships that lapse because nobody owns the reminder, and tune-ups that never get scheduled.

  • Dispatch and office handoffs

Job details retyped between the phone, the CRM, dispatch, and invoicing, with information lost along the way.

  • Reviews and reporting

Review requests that depend on memory, and owner reports assembled by hand from several systems.

Missed-call revenue calculator

A quick way to size the problem before talking to anyone. Enter numbers from your own call log and invoices; the formula is shown with the result.

Use your own numbers. Nothing is prefilled, and no email or contact details are required to see the result.

Unanswered calls with no callback. Your phone system or carrier call log usually shows this.

Of those calls, the share that were new repair, install, or maintenance requests rather than vendors, spam, or existing jobs.

Of those bookable callers, the share you would normally turn into a booked job when you do answer.

Average revenue of the jobs those calls usually become. Use your own invoices, not a replacement-only figure.

Optional. Adds an estimated gross profit line, which is closer to what the business actually keeps.

What gets automated, and what stays with your people

Automated
Logging every call and form as a lead, sending an approved text-back when a call is missed, estimate and renewal reminders on a schedule, and moving structured job data between connected systems.
AI-assisted, human-reviewed
Summarizing call notes, sorting requests by type and urgency, and drafting follow-up messages for a person to approve and send.
Always your team's call
Diagnosis, pricing, emergency prioritization, schedule commitments, refunds, and anything outside a defined rule. Exceptions go to a named person, not a bot.

How an HVAC engagement works

  1. Fit call. Free, 20 minutes. We ask how calls, estimates, and follow-up work today and tell you honestly whether a deeper look is worth it.
  2. Opportunity Map. We review real call logs, CRM records, and handoffs with your office staff, then rank fixes by cost and expected return. We discuss scope and cost with you before you decide.
  3. Build and connect. Only the workflows you approve, tested on representative records, including what happens when something fails.
  4. Measure. Response time, missed-call follow-up, estimate conversion, and exceptions are tracked against the baseline before anything is expanded.

Who this is for

A good fit

  • — Residential or light-commercial HVAC companies with an office team or dispatcher
  • — Already using a CRM or field-service platform, even if it is set up loosely
  • — An owner willing to share call logs and a few weeks of records

Probably not yet

  • — A solo operator who answers every call personally
  • — Looking for more ad leads rather than handling current demand better
  • — Wanting a system that makes pricing or diagnosis decisions unattended

HVAC work to date

UClaim built connected systems for Air Zone Plus LLC, including Alex, its AI phone assistant, and appointment-reminder workflows. Antoine and his team still handle the HVAC work and decisions that need a person. Read the full story on our Proof page.

HVAC owner questions

Usually not. Most projects start with the platform you already pay for. We only recommend a change when your current system cannot support a workflow you need, and we explain the tradeoff in writing first.
We evaluate ServiceTitan, Housecall Pro, Jobber, GoHighLevel, and common phone systems. What can be connected depends on your plan, API access, and settings, so we confirm it against your account before scoping. We do not promise an integration we have not verified.
Not by default. The common starting point is making sure every missed call is logged, followed up quickly, and routed to the right person. Anything involving diagnosis, pricing, or schedule commitments stays with your staff unless you explicitly approve a narrow rule for it.
The first conversation is a free 20-minute fit call. If a deeper Opportunity Map makes sense, we discuss scope and cost with you before you decide. Implementation is scoped and priced separately.
Yes. We are based in The Woodlands and work across Greater Houston, including Spring, Conroe, Katy, Cypress, Tomball, and Sugar Land, and remotely elsewhere. We work in English and Spanish.
