Controls matter

Generated output should pause when data is missing, when a customer asks for a person, or when the workflow reaches an unapproved exception. That is part of the design, not a later cleanup task.

Illustrative handoff: marketing to invoice

A form inquiry arrives with a campaign source. A routing rule assigns a sales owner; that person reviews an estimate draft against the actual request. Once the customer approves, operations receives the confirmed job details. The field team records completion, then finance reviews the invoice details before sending. This is an example flow, not a client result.

If the address is incomplete, an estimate changes, or the customer disputes a charge, automation pauses and assigns the exception to the responsible person. An audit trail should show which record triggered each step and who approved it.

What we would decide before automating

We identify source systems, who owns each transition, whether existing tools expose the required integration, and what must never be sent automatically. A single well-defined handoff may be more appropriate than connecting every department at once.
